Refund and cancellation policy
This policy covers deposits, cancellations, and refunds for Data Query Flow engagements — financial audit and related reviews of leasing administration applications.
Scope
This policy applies to professional engagements booked with Data Query Flow. It does not cover products we do not sell, software subscriptions, or physical goods delivery.
Deposit
A 30% deposit confirms the fieldwork window stated in the engagement letter. The deposit is credited against the total fee.
Cancellation by the client
- More than 10 business days before the agreed start date: deposit refunded minus a 5,000 THB administration charge
- 5–10 business days before start: 50% of the deposit may be retained
- Fewer than 5 business days before start, or after document intake has begun: deposit is non-refundable
Rescheduling
One reschedule with at least 5 business days’ notice is available without charge, subject to our calendar. Further reschedules may require a new deposit top-up if the original window cannot be reused.
Work already started
Once document intake or fieldwork has started, fees for time already spent are payable. Any unused portion of prepaid fees may be refunded on a partial basis after we issue a time summary. Working papers prepared remain subject to the engagement letter’s confidentiality terms.
Non-refundable items
- Third-party travel booked with your approval after cancellation deadlines
- Rush surcharges already earned for compressed timelines
- Completed findings letters, reconciliation workbooks, or remediation sessions already delivered
No-shows
If client contacts are unavailable for scheduled walkthroughs without 24 hours’ notice, that session may be billed as delivered. A replacement session can be booked at the ordinary half-day rate.
Refund process and timing
Email info@dataqueryflow.digital with your engagement reference and reason. Approved refunds are processed within 14 business days to the original payment method where possible. Bank charges on international returns, if any, may be deducted.
Exceptions
If we cancel an engagement for reasons other than client breach or independence conflict caused by information you withheld, you receive a full refund of amounts paid for undelivered work.
